Word documents can accumulate unwanted formatting from various sources (copy-pasting, applying styles, etc.). Clearing this formatting can ensure a clean, consistent look. Here's how you can do it:
Clear All Formatting (For Selected Text): The simplest method is to select the text you want to clean and click the "Clear All Formatting" button. This button is typically found in the Font group on the Home tab. It looks like an "A" with a small eraser. This removes almost all direct formatting like font styles, sizes, colors, and spacing.
Using "Paste Special": When pasting text from external sources (webpages, other documents), use "Paste Special". Select "Unformatted Text" or "Keep Text Only" to strip away all formatting during the paste operation. This is useful to prevent unexpected formatting issues.
Using Styles: Instead of directly applying formatting, use Word's "Styles" feature. You can then modify the styles to change the appearance of all text associated with a style at once. Applying a style effectively overrides and standardizes existing formatting. You can also modify existing styles to align with your document's overall design.
Reveal Formatting Pane: Use the "Reveal Formatting" pane to understand what formatting has been applied to specific text. You can identify and remove formatting directly from this pane. Access it via the keyboard shortcut Shift + F1

Normal Template: Consider modifying the "Normal Template" to specify the default font and formatting for new documents. Making changes to the normal template affects all new documents created after changes have been implemented.
